Invoice, Receipt and Bill: What Is the Difference and When to Use Each?

Illustration of two documents: an invoice and a receipt marked as paid

Many new business owners mix up invoices, receipts and bills. They all look like a piece of paper with a list of prices, but each has a different job. Knowing the difference keeps your records tidy and avoids misunderstandings with customers.

Invoice: asking for payment

An invoice is given before or when the customer pays. It states what was sold, the amount, and when payment is due. An invoice suits situations where the customer will pay later, for example after a service is done or within 7 days.

Receipt: proof that payment was received

A receipt is given after the customer pays. It proves that payment was received, how much, and by which payment method. Customers usually keep receipts for reference or claims.

Bill: a list of what needs to be paid

In everyday speech, a "bill" usually means a list of what needs to be paid, such as a restaurant bill or a utility bill. It works much like an invoice, but the word "invoice" is better for business dealings, especially with regular customers or when payment is made later.

Which one should you use?

  • Cash sale at the counter: the customer pays straight away, so a receipt is enough (or just record the sale if the customer does not need one).
  • Service or order, pay later: give an invoice first. Once the customer pays, give a receipt.
  • Deposit: give an invoice for the deposit, then a receipt when it is received. The balance is paid later with a new invoice or receipt.
  • Regular customer who pays at month end: give an invoice for each job and mark it as paid when the money arrives.

Simple tips

  1. Use consecutive numbers for invoices and receipts so they are easy to track.
  2. Keep a copy of every document you issue.
  3. Mark invoices as paid when money comes in, so you know who still owes you.
