How to Make an Invoice for a Small Business in Malaysia: A Step-by-Step Guide

If you are new to business, invoices can look complicated. In fact, an invoice is simply a document that shows what you sold, to whom, and how much the customer needs to pay. This guide shows simple steps to make one neatly.

What is an invoice?

An invoice is a document you give a customer to request payment for goods or services. It is also your own record: when you sold, to whom, and whether it has been paid.

What an invoice should include

Every business is different, but good practice is to make sure your invoice has the following:

  • Your business name, address and phone number (and your SSM registration number, if you have one)
  • The word "Invoice" and a unique invoice number, for example INV-0001
  • The invoice date
  • The customer's name and details
  • A list of goods or services: description, quantity and unit price
  • The total amount (and any discount)
  • How to pay, including bank account details if the customer pays by transfer
  • The payment due date

If your business is registered for tax such as SST, extra details may be required. Check with the relevant authority or your accountant.

Step by step

  1. Prepare your business details once: name, address, phone and a logo if you have one.
  2. Use consecutive invoice numbers so they are easy to track: INV-0001, INV-0002 and so on.
  3. Enter the customer's name and phone number.
  4. Add each item or service with its quantity and price. Let the total be calculated automatically to avoid mistakes.
  5. Write the payment method and due date clearly.
  6. Send it to the customer as a PDF or on WhatsApp, and keep a copy for your records.

A faster way

Writing invoices by hand or in Excel works, but it is easy to make calculation mistakes and hard to find them later. With OGInvoice, you fill in the customer and items, the total is worked out for you, and the invoice can be downloaded as a PDF or sent on WhatsApp.
